Terms and Conditions.

1. Who these terms apply to, and who agrees to them

These Terms and Conditions apply to every participant, volunteer, guest, judge, mentor, partner and visitor at Élan Summit 2026 (“Élan”), organised by the Élan Organising Committee.

If the participant is under 18 years of age, these terms must be read and accepted by a parent or legal guardian on the participant’s behalf. By completing a registration for a participant under 18, the parent or guardian confirms that they:

• have read, understood and accepted these Terms and Conditions, the Refund Policy, the Privacy Policy and the Code of Conduct;
• consent to the participant attending Élan, including the overnight stay;
• are legally responsible for the participant’s registration, payment and conduct;
• confirm that the information supplied at registration is accurate and complete.

Where the participant is 18 or over, they accept these terms on their own behalf.

2. Eligibility

• Élan is open to students aged 14 to 20 as on 5 September 2026.
• Participants are primarily school students. First-year university students within the same age range may also register individually.
• Participants attend as individuals. Registration does not make a participant an official representative or delegate of their school, and Élan makes no claim that any school endorses or sponsors a participant.
• The Organising Committee may refuse, suspend or cancel any registration that does not meet the eligibility criteria.

3. Registration and confirmation

• A registration is confirmed only when the required information has been submitted and payment has been received and verified by the Organising Committee.
• Submitting the registration form alone does not reserve a place.
• Each participant selects one flagship, either Crisis Command or Cent$ible, at registration. The two flagships run at the same time, and a participant may take part in one only.
• Cent$ible participants select one theme at registration.
• Registration closes on 30 August 2026, or earlier if capacity is reached.

4. Payment

• Payment is made by UPI to the account published on the Élan payment page.
• After paying, the participant must submit the UPI transaction reference (UTR) so the payment can be matched to their registration. A registration cannot be confirmed until this is done.
• Participants are responsible for paying the correct amount for the pass tier applicable on the date of payment.
• Élan does not accept cash at registration unless expressly agreed in writing in advance.

5. Identity verification

Participants may be asked to present a school identity card or government-issued photo identification at check-in. Entry may be refused where satisfactory identification is not produced.

6. Reporting times and participation

• Participants must report at the times published in the participant portal.
• Late arrival may result in loss of participation in a round, disqualification, or refusal of entry, at the Organising Committee’s discretion.
• Participation is subject to venue capacity, safety requirements and compliance with official instructions.

7. Accommodation and the overnight stay

Élan is a residential event for most participants. The Standard and Late Registration passes include accommodation for the night of 5 September 2026 only. The Day Delegate pass does not include accommodation, and those participants make their own arrangements and travel to the venue each day.

• Accommodation is allocated by the Organising Committee. Participants may not choose or swap rooms without approval.
• Accommodation is arranged separately for male and female participants.
• Participants must remain within the designated accommodation and event premises for the duration of the event. Participants may not leave the premises without written permission from the Organising Committee and their parent or guardian.
• Lights-out and curfew timings will be issued at the event and must be followed.
• Supervision is provided by the Organising Committee and accompanying staff. Parents and guardians accept that this is group supervision appropriate to a school event, and not one-to-one care.
• Damage caused to accommodation or venue property by a participant is chargeable to that participant’s parent or guardian.
• Additional nights are not included. They may be arranged at extra cost, but must be requested well in advance. Requests made close to the event, or on the day, may not be possible to fulfil.

8. Travel and transport

• Passes that include accommodation also include transport within Pune between the designated accommodation and the venue. The Day Delegate pass does not include transport.
• Travel to and from Pune is the participant’s own arrangement and cost.
• Participants travelling from Kolhapur may travel with the Élan team at an additional charge, subject to seat availability and advance booking.
• Élan is not responsible for delays, cancellations or costs arising from a participant’s own travel arrangements, and such delays do not entitle a participant to a refund.

9. Health, medical information and emergency treatment

• Parents and guardians must disclose at registration, or in writing before the event, any medical condition, allergy, dietary requirement, medication or accessibility need relevant to the participant’s safety.
• Participants who require medication must bring it, clearly labelled, with instructions.
• By registering, the parent or guardian authorises the Organising Committee to arrange first aid and, in an emergency where the parent or guardian cannot be reached in time, to obtain emergency medical treatment for the participant. Reasonable efforts will always be made to contact the parent or guardian first.
• The cost of any medical treatment, medication, hospitalisation, ambulance or related expense is the responsibility of the participant’s parent or guardian.
• Élan does not provide medical insurance. Parents and guardians are advised to ensure their own cover is in place.

10. Code of conduct

All participants must follow the Élan Code of Conduct, which forms part of these terms and sets out expected behaviour, conduct during the overnight stay, fair-competition rules, how to report a concern, and the consequences of a breach.

In summary, participants must behave respectfully towards other participants, organisers, volunteers, judges, guests, school staff, venue staff and security personnel at all times, and must follow instructions issued by them.

The following are strictly prohibited:

• harassment, discrimination, bullying, intimidation or abusive language;
• violence, threats, vandalism or damage to property;
• any conduct that endangers the safety of any person;
• disruption of competitions, sessions or accommodation;
• cheating, plagiarism, impersonation or any attempt to gain an unfair advantage;
• recording or photographing any person without their consent, and sharing it.

11. Prohibited items

Participants must not bring or use alcohol, tobacco, vaping devices, illegal substances, weapons, explosives, fireworks or any dangerous or unlawful item. Any such item may be confiscated, and possession may result in immediate removal from the event and notification of the participant’s parent or guardian and, where appropriate, the authorities.

12. Competition rules and judging

• Crisis Command and Cent$ible each have their own rules, formats and submission deadlines, which are published in the participant portal and issued at the event.
• Late submissions may attract a penalty or be refused.
• Judging criteria are set by the Organising Committee. All decisions of the judges and the Organising Committee on scoring, shortlisting, disqualification and results are final and binding.
• The Organising Committee may reassign participants between teams, rooms, heats or categories for operational, fairness or safety reasons.

13. Prizes

• A cash prize of ₹10,000 is awarded to the winning team in each flagship: one for the winning Crisis Command council, and one for the winning Cent$ible team.
• The prize is awarded to the winning team as a whole. Where a team has more than one member, the prize is paid in a single transfer to one nominated team member, or divided equally, at the Organising Committee’s discretion. Élan is not responsible for how a team divides its prize.
• Prizes are paid by bank or UPI transfer after the event, on production of the required details. Any tax payable on a prize is the recipient’s responsibility.
• Prizes cannot be exchanged for any alternative.
• A participant disqualified for breach of these terms forfeits any prize entitlement.

14. Photography, video and media

• Photography, videography and recording will take place throughout Élan.
• By registering, the participant (and, for participants under 18, their parent or guardian) grants Élan permission to capture, edit, reproduce, publish and archive the participant’s image, voice, likeness, name and participation for event communication, recaps, reports, school outreach, social media and promotion of future editions, without payment.
• A parent or guardian may opt out by writing to elan@sgischool.in before the event. Élan will make reasonable efforts to exclude that participant from published material, but cannot guarantee exclusion from wide-angle, crowd or audience footage.
• Participants must not record or publish other participants without their consent.

15. Personal property

Participants are responsible for their own belongings, including phones, laptops, bags and valuables, at the venue and in accommodation. Élan accepts no responsibility for loss, theft or damage to personal property. Participants are advised not to bring items of high value.

16. Schedule and programme changes

The Organising Committee may change timings, sessions, rooms, judges, guests, speakers, formats, categories or rules where necessary for safety, logistics or event quality. Changes will be communicated through the participant portal and official channels. Such changes do not, by themselves, create an entitlement to a refund, except as set out in the Refund Policy.

17. Force majeure

Élan is not responsible for delay, interruption, modification, postponement or cancellation caused by circumstances beyond its reasonable control, including natural disasters, epidemics or pandemics, government orders or restrictions, civil unrest, security incidents, fire, utility or technical failure, extreme weather, or transport disruption. Refund treatment in these circumstances is set out in the Refund Policy.

18. Removal and disqualification

The Organising Committee may refuse entry to, suspend, disqualify or remove any participant who breaches these terms, the code of conduct, event rules, venue regulations or applicable law. Where a participant under 18 is removed, their parent or guardian will be contacted and is responsible for arranging their collection and travel. No refund is payable in these circumstances.

19. Liability

• Participants take part in Élan’s activities voluntarily.
• To the maximum extent permitted by law, Élan, the Organising Committee, the host institution, the venue, volunteers, judges and partners are not liable for indirect or consequential loss, including travel and accommodation costs, lost opportunity or expenses arising from cancellation, postponement, change, refusal of entry or withdrawal.
• Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, for fraud, or for any liability that cannot lawfully be excluded.

20. Intellectual property

The Élan name, logo, branding, designs, case materials, briefs and published content remain the property of Élan or its licensors. Participants may not reproduce, distribute or use them commercially without written permission. Work created by participants during competitions may be reproduced by Élan for reporting, archival and promotional purposes, with attribution where practical.

21. Participant portal accounts

Each confirmed participant receives a private portal account. Login details and set-password links are personal and must not be shared. Participants are responsible for activity under their account and must report any suspected misuse to the Organising Committee.

22. Communication

Official communication is issued through the participant portal, email, phone and the official Élan channels. Participants and their parents or guardians are responsible for checking announcements before and during the event.

23. Accuracy of information

Participants and their parents or guardians are responsible for the accuracy of the information they submit. Élan is not responsible for consequences arising from incorrect or incomplete information, including missed communication or failure to match a payment to a registration.

24. Privacy

Personal information is handled in accordance with the Élan Privacy Policy and applicable law, including the Digital Personal Data Protection Act, 2023. Contact details are not shared with third parties for marketing.

25. Amendments

The Organising Committee may amend these terms. The version published on this page at the time of the event applies. Material changes will be communicated to registered participants.

26. Severability

If any provision of these terms is found invalid or unenforceable, the remaining provisions continue in full force.

27. Governing law and jurisdiction

These terms are governed by the laws of India. The courts at Pune, Maharashtra have exclusive jurisdiction over any dispute arising from Élan or these terms.

28. Acceptance

Completing a registration, making a payment, or attending Élan constitutes acceptance of these Terms and Conditions, the Refund Policy, the Privacy Policy and the Code of Conduct, by the participant, and by their parent or guardian where the participant is under 18.
